Job Summary

Manage complex calendars, arrange travel, and create detailed expense reports for multiple Senior Executive Leaders.  Set up virtual and in-person meetings. Schedule and coordinate team meetings. Coordinates with administrative support within Business Insurance and across the organization. Strong communication skills, highly detail-oriented, and organized. Ability to handle unexpected changes making necessary adjustments. Help support a collaborative team environment.

Essential Job Functions

  • Work closely with Executives to manage priorities and ensure follow-up on group initiatives and projects.
  • Plan and coordinate team meetings.
  • Handle executive’s travel and expenses in a timely manner.
  • Prepare detailed expense reports.
  • Interpersonal and influential skills to keep the teams on track and moving.
  • Heavy calendaring, travel planning, and executive support responsibilities.
  • Ability to juggle several tasks simultaneously.
  • Detail oriented with strong organizational skills.
  • Organized planner. Ability to plan virtual, onsite, or offsite and team events.
  • Assist in the onboarding of new and internal employees.
  • Assist the Administrative Supervisor with process improvements, budget management, floor management, and other projects as assigned.
  • Uses utmost discretion.

Physical Environment

  • Sits or stands for extended periods of time, up to a full work shift.
  • Listens to, interprets, and differentiates auditory information (e.g. others speaking) at normal speaking levels with or without correction.
  • Ability to operate a computer for extended periods of time.
  • Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate keyboard and other office equipment up to a full work shift.
  • This position is Office Flex, which allows for remote work, but will require being on site ad needed.

Education Requirements

  • High school diploma or equivalent required.
  • Bachelor’s degree preferred.

Experience Requirements

  • 4+ years in an administrative capacity, preferably in a corporate setting.

Special Skill Requirement

  • Intermediate to advanced proficiency in Microsoft Office Suite, including Word, Excel, Power Point and Outlook.
  • Ability to type accurately using standard business vocabulary and grammar.
  • Excellent organization and time management skills.
