Our hybrid work environment combines the best of both worlds with at least three (3) days in office and up to two (2) days virtual for employees who live within fifty (50) miles of a Farmers corporate office. Job Summary

This position acts as a primary point of contact for the executive office and supports by planning, organizing, and controlling activities to meet strategic objectives and financial targets. Leads operational efficiency for the executive office by governing and maintaining established processes. Recognizes operational weaknesses and helps sharpen the process or develop new ones. Leads and coordinates logistics for internal and external meetings for the executive office. Supports the executive office in maintaining relationships with key people to ensure progression in communication and to surface and pursue opportunities for collaboration. Uses judgment and initiative to determine the action necessary to manage both routine and unusual situations.

 

This role requires a high degree of flexibility and responsiveness. The Assistant is expected to be available as needed, including outside of standard business hours, to support the dynamic and fast-paced nature of executive responsibilities. 

Essential Job Functions

Acts as a primary point of contact for the executive office to drive specific projects whereby performing key communications with internal and external customers, manages general inquires, and refers more complex inquiries to appropriate channels. Tracks and evaluates key project metrics and provides analysis and recommendations. Coordinates the operational delivery to ensure project timelines are clearly met and support the strategy. Leads and coordinates logistics for internal and external meetings for the executive office, including meetings that are highly sensitive in nature. Contacts individuals to communicate schedule arrangements and proactively collaborates on numerous changes. Additional duties include attention to detail in preparing, gathering, and distributing various meeting materials to include agendas, presentation decks and reviewing correspondence and determining actions. Monitors follow up actions, and makes decisions and acts on them as appropriate. Embraces the culture, values, and goals of the executive office when engaging with internal and external stakeholders. Supports the executive office in maintaining relationships with key people to ensure progression in communication and to surface and pursue opportunities for collaboration. Ensures that all activities are executed effectively and with a sense of urgency. Recognizes operational weaknesses and helps sharpen the process or develop new ones. Collaborates with other members of the executive admin team to provide seamless support for the company. Leads operational efficiency for the executive office by ensuring and establishing proper governance process on matters that significantly affect the executive office. Uses good judgment and operates with a customer-centric approach to problem solving. As part of general job duties, coordinates complex travel itinerary for the CEO and prepares payments for approved expense items. Gathers and distributes monthly and quarterly reports, supports requisition requests, and coordinates various arrangements. Composes routine and non-routine correspondence, on own initiative without instruction. Proofreads for typographical errors and appropriate content prior to submission for signature. Maintains office supplies, including furniture and fixtures as appropriate. Assist with special projects as needed. Performs other duties as assigned.

    Manages the CEO’s schedule, ensuring time is allocated for strategic thinking, and high-impact engagements. Creates space for focus by minimizing distractions and streamlining workflows.

    Crafts clear, concise, and compelling written and verbal communications. Represents the CEO’s voice and tone with accuracy and professionalism in all correspondence.
  • Tech-Savviness 
    Proficient in productivity tools. Comfortable learning and integrating new technologies to improve efficiency and communication.

    Remains composed and solution-oriented in high-pressure or rapidly changing situations. Able to pivot quickly and reprioritize without losing momentum or focus.

    Navigates complex organizational dynamics with tact and subtle influence. Acts as a gatekeeper and bridge between the CEO and others, balancing access with protection.
  • Availability & Responsiveness
    Demonstrates a high level of commitment and flexibility, with the understanding that the role may require availability outside of standard business hours. Maintains open lines of communication and a readiness to respond when needed, while fostering a respectful and sustainable working rhythm.

Education Requirements

High School Diploma or equivalent required. Bachelors degree preferred.

Experience Requirements

Minimum seven years experience in an administrative or organizational support role, preferably in a corporate or executive-level environment.
