The Claims Legal Services Administrative Associate is accountable for office related duties within the Claims Legal Services (CLS) group to ensure efficient operations of the department. Receives all lawsuits filed against the Exchanges and performs initial review to determine which operation should manage the particular litigation (Claims Legal Services, Field Claims, Corporate Legal, or Zurich) and documents service of process. In addition, also administers bulk EFT payments and issues indemnity and expense payments.
Essential Job Functions
Monitors Suits Against the Exchanges (SAE) email inbox for receipt of Securit Packages from agents for various states and from Corporate Legal regarding litigation filed against the Exchanges. Performs initial review and preliminary analysis of all new litigation against the Exchanges and determines where the litigation will be managed (e.g. Claims Legal Services, Claims, Corporate Legal, Zurich, or other specialized operations). Communicates with various departments to ensure default judgments are not entered against the company and researches multiple Farmers Databases and Claims systems to determine and then assign Claims to the corresponding lawsuit. Also inputs Claims litigation information into the ProLaw System for management by SAE Counsel. Works with SAE managing professionals to obtain various documents relating to discovery requests in litigated cases against the Exchanges. Items range from but are not limited to, gathering claims files and underwriting materials to the retrieving policy documents and recorded statements. In addition also troubleshoots and manages discovery document production errors and communicates with various organizations throughout Farmers (e.g. underwriting, Claims, etc.) involved in discovery production. Issues individual expense and indemnity checks to plaintiff's counsel as well as handles approximately 3,000 invoices per month via the Electronic Funds Transfer process to ensure payments of approximately $2- 3M per month are generated to pay legal expenses and indemnity. Performs other functions as assigned.
High school diploma or equivalent required. At least two year's work experience in an office environment. Associate degree preferred.
Proficient in operating standard office equipment, including but not limited to computer, fax machine, copier and scanner as well as demonstrated knowledge of MS Office (Word, Excel, PowerPoint, etc.) required. Working knowledge and general understanding of summonses and complaints as well as the ability to analyze pleadings, proactively manage suit timelines, and understand the location and procedures used by various agents of service for lawsuits against the Company throughout the U.S. desired. Demonstrated knowledge of legal and insurance case management programs as well as email/calendar/instance messaging programs preferred. Prior experience in ProLaw, Farmers' claims system and Outlook also preferred. Prior knowledge of various Claims recording call systems and underwriting functions desired but not required.
